Refined Spaces Cleaning Company – Terms & Conditions

1. Introduction

These Terms & Conditions form the agreement between Refined Spaces Cleaning Company (“we”, “our”, or “us”) and the client (“you”) for cleaning services provided at the agreed address.
By booking a service, you confirm that you have read, understood, and agreed to these terms.

2. Services Provided

  • We offer a range of professional cleaning services, including residential, commercial, and specialist cleans.

  • All work will be carried out by trained and insured cleaners to our Refined Spaces Quality Standard.

  • The exact tasks, frequency, and service level will be detailed in your booking confirmation or written agreement.

  • We reserve the right to refuse or stop work if conditions are unsafe, hazardous, or significantly different from the booking description.

3. Access to Property

  • You must ensure we have safe and reasonable access to the property at the agreed time.

  • If keys are provided, they will be kept securely and coded — never marked with your address.

  • If we are unable to gain access due to a client issue (e.g. no one home, locked out, alarm set), a cancellation fee may apply (see Section 7).

4. Payments

  • Payment is due on completion of service, unless otherwise agreed in writing.

  • Regular clients may be invoiced weekly or monthly.

  • Accepted payment methods include bank transfer, card payment, or cash.

  • Late payments beyond 7 days may incur a £10 administration fee plus statutory interest (8% above base rate).

  • All prices are inclusive of VAT (if applicable).

5. Quality Guarantee

We proudly offer a 24-hour Satisfaction Guarantee — if you are unhappy with any area of your clean, contact us within 24 hours and we’ll re-clean it free of charge.

6. Liability

  • We hold full Public Liability Insurance and Employer’s Liability Insurance.

  • We are not liable for:

    • Pre-existing damage or wear to items, surfaces, or fixtures.

    • Accidental damage worth under £250 (our insurance excess).

    • Losses resulting from delayed arrival due to traffic or unforeseen events.

  • We will always act with care and professionalism, and any claims will be handled fairly and promptly.

7. Cancellations & Rescheduling

  • Cancellations made less than 24 hours before the appointment may be charged 50% of the booking value.

  • Missed appointments or access failures on arrival are charged in full.

  • We are flexible where possible — rescheduling is free with at least 24 hours’ notice.

  • In the rare event we need to cancel or reschedule, we’ll notify you as early as possible.

8. Customer Responsibilities

To help us deliver a top-quality service, please ensure:

  • All valuables are safely stored away.

  • Water and electricity are available during the service.

  • Pets are secured (for safety and comfort).

  • Any special instructions or cleaning products are agreed in advance.

9. Health & Safety

  • We follow all UK Health & Safety standards and use safe, approved cleaning materials.

  • We will not handle biohazards, pest infestations, or hazardous chemicals unless explicitly agreed in writing.

10. Privacy

We take your privacy seriously and comply with UK GDPR.

11. Termination of Services

Either party may end a regular cleaning arrangement with 14 days’ notice.
We reserve the right to terminate services immediately for:

  • Non-payment, unsafe conditions, or abusive behaviour toward staff.

12. Governing Law

These Terms are governed by English law, and any disputes will be handled by the courts of England and Wales.
